1. Booking & Online Purchases
Contract for Products and Services
Unless otherwise stated, Birlan Educational Journey ("Birlan") acts as a program organizer and may coordinate with third-party providers (including universities, companies, accommodation providers, and transportation services).
By booking any program through Birlan, you agree to enter into a binding agreement ("Contract") for the selected services. This agreement may be formed electronically, and you agree not to dispute its validity on the basis that it is made digitally rather than in written or signed form.
By confirming your booking, you are obligated to complete the transaction. You must not make a booking unless you intend to complete the payment. You confirm that you have the legal capacity to enter into this agreement and to participate in the program.
Birlan reserves the right to decline any booking if the provided information is inaccurate, incomplete, or deemed insufficient at our discretion.
Third-Party Service Providers
Certain components of Birlan programs are delivered in collaboration with third parties, including but not limited to universities, companies, hotels, transportation providers, and other institutions.
Participants may be subject to additional terms and conditions imposed by these third parties. Birlan is not liable for any failure, delay, rescheduling, or dissatisfaction related to services provided by third parties.
Passport, Visa & Health Requirements
Participants are responsible for ensuring they have valid travel documents, including passports (with minimum validity of six months where applicable), visas, and any required health documentation.
All information provided by Birlan regarding travel requirements is for guidance only. Participants are fully responsible for ensuring compliance with all applicable regulations.
Birlan shall not be held liable for denied boarding, entry refusal, or any losses resulting from incomplete or invalid documentation.
Duplicate Bookings
Participants are not allowed to make overlapping bookings for the same program. Any resulting costs, losses, or damages will be the sole responsibility of the participant.
Product-Specific Terms
Certain programs or services may have additional terms and conditions. In the event of any inconsistency, the specific terms for that program will take precedence over these general Terms.
Availability of Services
Program availability may vary depending on location, timing, and third-party partners. Birlan does not guarantee that all programs or services will be available in all markets.
2. Pricing
All prices listed are subject to applicable taxes unless otherwise stated.
Program prices are subject to change based on availability, currency fluctuations, and third-party pricing adjustments. Prices are not considered final until full payment has been received.
Additional costs may apply, including but not limited to:
- Visa fees
- Travel insurance
- Additional taxes or surcharges
- Optional activities
Participants are responsible for paying the full amount as stated in the final invoice.
3. Cancellation, Refunds & No-Show
Cancellation policies vary depending on the program and third-party arrangements.
By Participant
- Cancellation requests must be submitted in writing.
- Deposits are generally non-refundable.
- Cancellation fees may apply depending on timing and third-party policies.
- Confirmed flights or bookings may be non-refundable.
By Birlan
Birlan reserves the right to cancel a program due to operational reasons, insufficient participants, or force majeure. In such cases, participants will be offered:
- Rescheduling options, or
- Refunds (excluding non-recoverable third-party costs)
Refund Processing
Refund timelines vary depending on third-party providers and may take several weeks to process. These timelines are estimates and not binding.
Unused Services
Participants remain responsible for the full cost of any booked services that are not used, regardless of reason.
4. Changes & Amendments
Changes to bookings must be requested in writing at least 7 days prior to program start, unless otherwise stated.
Changes are subject to:
- Availability
- Third-party approval
- Additional fees
Certain components (such as confirmed flights) may not be changeable.
Birlan may also adjust program itineraries due to unforeseen circumstances. Such changes do not entitle participants to a full refund.
5. Payment Methods & Charges
Payments may be made via bank transfer, credit card, or other approved methods.
- Credit card payments may incur service charges.
- Service charges are non-refundable.
- Refunds for credit card transactions follow standard processing timelines.
All payments must be made to official Birlan accounts. Birlan does not accept payments to personal accounts.
6. Fraud & Security Notice
Birlan advises all participants to remain cautious of fraudulent communications claiming to represent Birlan.
- Official communications will only come from verified Birlan channels.
- Payments should only be made to official company accounts.
- Birlan will issue official invoices/receipts for all transactions.
Birlan is not responsible for any losses resulting from fraudulent transactions made outside official channels. If you suspect fraud, please contact us immediately.
7. Limitation of Liability
Birlan acts as a program organizer and coordinator. While we strive to ensure a high-quality experience, we are not liable for:
- Third-party service failures
- Delays, cancellations, or schedule changes
- Loss, injury, or damages beyond our control
Participation in all activities is at the participant's own risk.
8. Force Majeure
Birlan shall not be held liable for any failure or delay due to events beyond reasonable control, including but not limited to:
- Natural disasters
- Government regulations
- Pandemics
- Political instability
9. Governing Law
These Terms & Conditions shall be governed by the laws of the Republic of Indonesia.
